This Privacy Policy explains how Dereham & District Angling Club (referred to as "the Club", "we", "our", or "us") collects, uses, shares, and protects your personal data.

For the purposes of data protection legislation (including the UK GDPR / Data Protection Act), the Club acts as the Data Controller. We are committed to safeguarding the privacy of our members, day-ticket holders, visitors, and volunteers.

We collect personal information to manage your membership, administer club activities, and maintain a safe environment at our fisheries.

• Membership & Contact Data: Name, postal address, telephone number, email address,

date of birth, car registration number and EA rod license number (if applicable). We use this to process applications, issue permits, and send renewal notices under the legal basis of contractual obligation.

• Financial Data: Payment details (e.g., bank sort codes/account numbers via paper checks or encrypted online portals). We process this to manage subscription fees under a contractual obligation.

• Media & Marketing Data: Photographs or videos of your catches or from our fishery that you explicitly submit to us. We process this for our website, newsletters, or social media pages based on your consent.

• CCTV Images: Video footage and images captured by our security cameras at club premises, gates, or parking lots. We process this under the legal basis of our legitimate interests in securing our property, preventing poaching, and protecting our members and facilities.

 

3. Closed-Circuit Television (CCTV) Policy

The Club operates CCTV systems at designated locations across our fisheries, access gates, and facility buildings.

• Purpose: CCTV is used strictly to maintain a safe environment, deter unauthorised access or poaching, protect club assets, and assist in investigating rule breaches or criminal acts.

• Camera Locations: Fixed, visible cameras are located at main access gates, club car parks, and containers that house equipment. We do not conduct covert surveillance.

• Signage: Clear signs are displayed at the entrances to zones where CCTV is operational to alert members and the public.

• Retention & Access: CCTV footage and images are automatically overwritten after 90 days unless required for an ongoing investigation. Access to footage is strictly limited to the following authorised committee members (Chairman, Club Secretary, Club Treasurer, Membership Secretary).

• Sharing: Footage will only be shared with third parties (such as the police or the Environment Agency) to aid in the prosecution of criminal activity or severe angling byelaw infractions.

 

4. Data Security and Sharing

• Storage: We implement robust physical and electronic security controls. Digital member records are securely stored on password-protected Google Drive databases.

• Third-Party Sharing: We do not sell or lease your personal data. We only share information with trusted third-party service providers who help us run the club (e.g. Myhills Tackle shop that provide membership payment services).

• Legal Disclosures: We will cooperate with law enforcement or regulatory authorities if required to disclose personal data by law.

 

5. Data Retention

• Active Members: We keep your data for the duration of your active membership.

• Lapsed Members: If you choose not to renew, your details will be securely deleted or anonymised after 2 seasons, except where financial audit laws require us to hold transaction records longer.

Under data protection laws, you have rights regarding your personal data. You can request to:

• Access a copy of the personal data we hold about you (including recognisable CCTV footage).

• Correct any inaccuracies in your personal data.

• Object to or restrict certain types of data processing.
